Classified Part-Time Hire Instructions

Note:  This is for Non-Custodial positions only -- the process for custodial positions has not changed

As stated in the current Classified Agreement, positions that are temporary, seasonal, or authorized for an average of fewer than 20 work hours per week do not need to be announced.  However, candidates must submit an electronic application for these positions.  Applications are necessary to gather vital information about candidates such as prior experience, qualifications, and background information.  Because applications are only accepted for specific jobs, candidates interested in part-time unannounced positions apply to the part-time job listing using a reference number for your location/school (you will need to provide this number to interested candidates in order for them to apply). 

The reference number for your location/school is PARTTIME followed by your location/school number (i.e. PARTTIME23, PARTTIME102, or PARTTIME 712).  Remember, this reference number is not to be used for positions over 20 hours per week or custodial part-time hires.

To find the job listing, this reference number MUST be entered by interested candidates in the Reference # field under Career Search on the Davis School District Careers page (A link to the Careers page can be found on the District home page titled “Employment”).

Candidates who have registered on the Careers page and then click on Search can view the unannounced part-time job listing.  Individuals who have not registered on the Careers page or have not entered the “Reference #” will not be able to see or apply for part-time unannounced positions.

Once the candidates have applied for the position and you have selected the successful candidate(s), and have offered the position and the successful candidate has accepted the position, do the following:

or navigate to:

Human Resources – Human Resources/Personnel – HR Recruitment Applicant Interview 
   

 

Indicate all applicants interviewed by clicking the Interview check box. For the applicant you desire to hire do the following:
  • Enter the Start Date
  • Enter/verify the position number (if you don’t have a position number leave it blank and contact the Accounting Department)
  • Click Yes next to the name of the person hired
For positions authorized for an average of fewer than 20 hours per week, there is no need to check the ‘Request Approval’ checkbox.  This only applies to positions/announcements that require an applicant be approved before an offer is made.

 

The following screen will appear

If the information on this screen is not correct click Cancel and select the correct candidate.

You have one more opportunity to enter/review the ‘Start Date’ and ‘Position ID’.

If the information on this screen is correct and you concur with all bullet points, click Confirm Hire.

If an email address exists for the applicant, instructions on what to do next will be emailed to the newly hired person. You can view this email by clicking the View Email button. If no email address exists for the applicant, you must provide printed instructions to the newly hired employee by doing the following:

  • Click the View Email button
  • Click the Print icon in the Adobe window
The newly hired employee must follow and complete the instructions provided before going to the Human Resources Department.  Any help you can provide to your newly hired employee to complete the steps within the instructions will help ensure the success of this process.
